Scan tickets at the gate

In the event's Settings, open Checkpoints and add a gate for each volunteer phone. Each gate gets a 6-digit PIN. Volunteers open the scanner link, enter the PIN and tap Scan tickets. Green means let them in. No account is needed.

Any phone with a camera can be a ticket scanner. Every scan records who scanned it (the team member, or the gate for a volunteer with a PIN) and the time.

Set up the gates

  1. Open the event and tap Settings, then Checkpoints.
  2. Tap Add gate, once for each volunteer phone, and name each one (for example Gate 2).
  3. Qwait shows the gate's 6-digit PIN, only this once. Tap Send on WhatsApp to send the volunteer the scanner link and the PIN together, or tap Copy.

Lost a PIN? Tap New PIN next to the gate. Phones using the old PIN are signed out.

Scan tickets

For the volunteer:

  1. Open the scanner link on your phone and enter the gate's PIN. Then tap Start scanning.
  2. Tap Scan tickets and allow the camera.
  3. Point the camera at the ticket's QR code. The screen shows the result in big letters:
ScreenMeaning
Green AdmittedValid. Let them in.
Amber Already admittedThis ticket was scanned before. Check with the organiser.
Amber Too earlyTheir time slot hasn't started yet.
Red Wrong dayThe ticket is for another date.
Red Do not admit or Not validNot a valid ticket for this event.

If the camera can't read a ticket, type the code printed under the QR into Or type the ticket code and tap Check.

Checkpoints: kits, meals, halls

Besides entry, you can scan the same ticket for each thing people get or attend, such as a welcome kit, breakfast, lunch or Hall 2. Under Checkpoints, tap Add and name it. On the scanner, the volunteer picks what they're scanning for under Scanning for.

The counts are on the event's Dashboard.

Scan counts per person

The scanner shows Your scans today at the top, and today's count for everyone else on the team below the camera. Counts start at 0 each day, in the event's time zone.

Owners see every day's counts under Dashboard → Scans by team. Pick the days at the top. Tap Each day for a day-by-day list, or CSV to download it.

Count scans for someone else

If you're an owner, you can scan on behalf of a team member, for example while they're on a break. On the scanner, pick their name under Count scans for. Scans from your phone then count for them until you switch back to Me. The log shows how many were counted this way.

Questions

Do volunteers need a Qwait account?

No. Each one needs only the scanner link and their gate's PIN.

Does scanning need internet?

Yes. Each scan is checked live, so a ticket can't be used twice at two gates.

Where do I see who came?

Open a booking to see its scans. Or download the Attendees CSV under Dashboard → Sales.

  • Create an event and sell tickets — Tap + and then New event. Enter the name, venue and dates, and tap Create event. Then add a ticket, choose how you get paid and switch Tickets on sale on. Share the sale link or its QR code, and people book on their phone.
  • Fix: the camera won't scan a QR code — Most often the browser was blocked from using the camera. Allow the camera for qwait.in in your browser's settings and try again. Otherwise, close other apps using the camera, add light, or type the code printed under the QR.
  • Find your event ticket again — Your tickets are on the booking page you saw after paying. Open it again from the WhatsApp message or link you saved, or under My Turns → Event tickets if you were signed in. Show the QR code at the entrance.
